We are looking for a Billing Operations Specialist to join our Billing team.

In this role, you will ensure accurate and timely billing activities while taking ownership of an assigned customer portfolio. You will work across the full operational billing cycle – from invoice creation and vendor portal submission to Accounts Receivable monitoring and payment follow-up.
We are looking for someone who combines attention to detail with a strong sense of ownership: someone who not only completes tasks but follows them through, understands their impact on cash collection, and proactively resolves issues.

As a Billing Operations Specialist, you will play an important role in ensuring accurate billing, supporting timely cash collection and delivering a positive customer experience.Your key responsibilities will include:
  • Manage an assigned customer portfolio across billing and collections activities.
  • Prepare and issue accurate invoices based on approved billing data.
  • Verify customer information, purchase orders and supporting documentation to ensure first-time-right billing quality.
  • Submit invoices through customer/vendor portals and monitor their status until acceptance.
  • Maintain vendor portal access, documentation and submission requirements.
  • Investigate and resolve standard invoice or portal rejections.
  • Monitor Accounts Receivable (AR) aging and identify overdue invoices requiring action.
  • Proactively follow up with customers on outstanding payments and expected payment dates.
  • Maintain accurate records of collection activities, payment commitments and open actions.
  • Escalate payment delays, disputes and recurring issues when necessary.
  • Prepare accurate and reliable billing and collection reports.
  • Collaborate with Accounting, Customer Success and other internal stakeholders to resolve issues.
  • Identify opportunities to reduce rework, improve processes and increase operational efficiency.
Your work will directly contribute to billing accuracy, customer satisfaction and healthy cash flow.

THIS IS YOU

You bring:
  • Experience in billing, Accounts Receivable, collections, finance operations or a comparable role.
  • A strong ownership mindset and the ability to follow tasks through to completion.
  • High accuracy and attention to detail, especially when working with financial data and reporting.
  • The ability to organize your workload, manage competing priorities and meet deadlines independently.
  • Confident and professional communication skills when interacting with customers and internal stakeholders.
  • A solution-oriented mindset and the willingness to investigate issues before escalating them.
  • Good Excel skills and confidence working with finance and business systems.
  • Ideally, experience with ERP systems and customer/vendor portals.
  • A collaborative attitude and willingness to support colleagues and share knowledge.
  • Curiosity and openness to learning new tools, improving processes and adopting AI-supported ways of working responsibly.
You enjoy combining finance operations, customer interaction, problem-solving and technology – and want to grow beyond transaction processing into true ownership of outcomes.
